Inclement weather MAY impact tonight’s meeting

We are closely watching the weather and currently see a 40-60% chance of rain during our scheduled meeting time tonight. If it does begin to rain during the 6 o’clock hour, we will cancel for tonight. This meeting would then be rescheduled for next Monday, 8/15 (same time/place), with the 9/12 meeting option as well. We’ll post updates on this site AND the Facebook page later today, as things materialize. Thanks for your patience!

REMINDER: First educational meeting tomorrow night, 8/8 at 6:30pm

As shared on the previous post, https://woodsatgrassycreek.com/2022/07/28/important-upcoming-meetings-youll-want-to-attend/, AND as noted on the neighborhood signage, tomorrow is your first opportunity to hear recommendations around a dues increase for 2023 and beyond.

Monday, Aug. 8 6:30pm at the pool house (please bring a chair)

If you can’t make tomorrow’s meeting, please plan to attend on Monday, Sept. 12 at the same time/location. The content for both meetings will be the same, though discussion may vary based on attendee questions.

A document outlining the rationale, recommendations and Q&A responses will be added to the WGC website and shared where AND on the Facebook group following the 9/13 meeting. Please reach out to the WGC Board email with any additional questions.

Important: Upcoming meetings you’ll want to attend

All Woods at Grassy Creek homeowners will receive a postcard with this information by the end of the week AND signs will be posted by Sunday. However, we are connecting with everyone as many times as possible to emphasize the importance of the upcoming meetings.

As a result of current budget challenges and reserve study results, the WGC HOA Board is recommending necessary dues increases and possibly a special assessment to maintain neighborhood services and amenities.

Mark your calendars for upcoming meetings to learn about and discuss our challenges, as well as vote on the dues approach to begin with the 2023 fiscal year.

Tree service: Week of July 25th

Reduced mowing service due to dry weather has allowed us to repurpose some dollars into other things needing attention around WGC. We’re expecting 8 dead/dying trees to be removed and stumps ground in the next couple days. FYI in case you see activity around the outskirts of the neighborhood this week.

Community Garage Sale: June 24-25

Community Garage Sale this coming weekend

8:00am to 3:00pm daily

Signs are going up around the neighborhood tomorrow and cross streets later this week.
The community sale is also being promoted on all local Warren and surrounding social media sites.

AT&T Fiber optics: Please read

IMPORTANT INFO FOR HOMEOWNERS ON THE WEST SIDE OF WGC: ASCALON CT, MARSHSIDE CT, SEDGEHILL DR, NORTHERN PART OF GLENEAGLE DR

We just met with a telecommunications vendor doing contract work for AT&T. Beginning late next week, weather permitting, they will begin laying AT&T conduit/fiber optic cable on your streets. Here’s what we learned and are passing along this info in advance.

– The vendor will be putting door hangers on affected homes tomorrow; signs will also be placed at the entrance and every third home on affected streets

-The vendor will be placing the lines in the easement in the front of your yard

– They will cover the conduit, seed and put hay over areas where they dig

– They may also bore holes under your streets, to pass cable from side to side

– They expect to be done within 8-10 days from project start date (they are hoping to start late next week)

If you have any concerns before, during or after the work, please reach out to the project manager directly: tclaringbold@veritacorp.com. Also, if you have yard irrigation/sprinkler systems that could be impacted, please email this individual or connect with one of the crews doing work to let them know. 811 has already been contacted and will be marking other utility lines early in the week.

**Homeowners on the east side of WGC, Amberwoods, Broadmeadow, and southern Gleneagle: We are reaching out to AT&T to determine when similar work may take place in our areas of the neighborhood. We’ll let you know as soon we find out more.

It’s important to note this is not an HOA-related project. It is requested by AT&T and approved through the city. The land they will be working on, though adjacent to or in your yard, is technically owned by the city — which allows them to move forward without homeowner request/approval. Any vendors working in the neighborhood are asked to provide this advance information as a courtesy. It doesn’t happen often, but we are appreciative of this vendor’s advance notice.

Mailbox discount week: April 11-15, 2022

Our mailbox vendor, Otto’s Streetscape, is extending discounts to WGC homeowners the week of April 11-15, 2022. Please see the attached flyer for discount information: WGC Mailbox Discount Week 2022.

We’ve done a great job getting mailboxes up to covenant standards in the last year and a half. Thanks to those of you that have addressed their mailbox update needs. For the handful of neighbors that still have mailboxes in need of TLC, we encourage you to reach out to Otto’s and get on their schedule!

Setting expectations around snow removal

With our first significant snowfall of 2022 on the horizon, this is a great opportunity to educate homeowners on snow removal services and arrangements in place for the Woods at Grassy Creek (WCG). Before we talk service specifics, it’s important to reinforce that our neighborhood roads are ultimately owned by the City of Indianapolis. With any large snowfall, City plowing priority is given to clear main arteries for mass traffic safety and human services like hospitals, etc.…then, once those are addressed, crews handle smaller roads, then last – neighborhoods.

The snow removal service that our dues pay for helps us make the neighborhood more safe/accessible earlier in the case of larger snowfalls, knowing we’re low on the list for City plowing. WGC’s plowing contract kicks in when we receive 4” or more of snow. However, our plowing company also has contracts which start immediately upon snowfall and at 1”, 2” and 3” increments for other businesses and neighborhoods. Accordingly, all those customers need to be serviced before they deploy resources to WGC.

Based on forecasts, this looks to be a 1–2-day snow event beginning later today into tonight. Please know that our vendor is poised to service our neighborhood within our contract specifics, and will be here multiple times throughout the event…as they also service other customers within their agreement. We will not be able to provide a specific time for service to start or repeat during the storm.

NEW: For those of you in cul-de-sacs that are especially challenged by snow mounding, a drive-through was performed with our vendor in December to discuss how we could minimize the impact of blocking mailboxes and driveways in those areas. We identified areas where it would be most favorable to plow snow. Please take a look at our snow plowing map – and zoom in on cul-de-sac locations, which shows a snow mound image where the vendor aims to put piles to reduce neighbor impacts. It won’t be perfect, but we have really tried to get ahead of potential issues in advance, working closely with our vendor.

Annual dues – Feb. 1 payment due date approaching

Reminder: The due date for your 2022 Woods at Grassy Creek HOA dues is quickly approaching.

2022 Homeowner dues are $432.
Due date: February 1, 2022

Late fee policy:
– $50 late fee applied if dues not paid before March 1.
– Additional $25 late fee applied if dues not paid before April 1.
– If dues have not been paid after April 1, homeowners will be referred to collections.
