Setting expectations around snow removal

With our first significant snowfall of 2022 on the horizon, this is a great opportunity to educate homeowners on snow removal services and arrangements in place for the Woods at Grassy Creek (WCG). Before we talk service specifics, it’s important to reinforce that our neighborhood roads are ultimately owned by the City of Indianapolis. With any large snowfall, City plowing priority is given to clear main arteries for mass traffic safety and human services like hospitals, etc.…then, once those are addressed, crews handle smaller roads, then last – neighborhoods.

The snow removal service that our dues pay for helps us make the neighborhood more safe/accessible earlier in the case of larger snowfalls, knowing we’re low on the list for City plowing. WGC’s plowing contract kicks in when we receive 4” or more of snow. However, our plowing company also has contracts which start immediately upon snowfall and at 1”, 2” and 3” increments for other businesses and neighborhoods. Accordingly, all those customers need to be serviced before they deploy resources to WGC.

Based on forecasts, this looks to be a 1–2-day snow event beginning later today into tonight. Please know that our vendor is poised to service our neighborhood within our contract specifics, and will be here multiple times throughout the event…as they also service other customers within their agreement. We will not be able to provide a specific time for service to start or repeat during the storm.

NEW: For those of you in cul-de-sacs that are especially challenged by snow mounding, a drive-through was performed with our vendor in December to discuss how we could minimize the impact of blocking mailboxes and driveways in those areas. We identified areas where it would be most favorable to plow snow. Please take a look at our snow plowing map – and zoom in on cul-de-sac locations, which shows a snow mound image where the vendor aims to put piles to reduce neighbor impacts. It won’t be perfect, but we have really tried to get ahead of potential issues in advance, working closely with our vendor.

Annual dues – Feb. 1 payment due date approaching

Reminder: The due date for your 2022 Woods at Grassy Creek HOA dues is quickly approaching.

2022 Homeowner dues are $432.
Due date: February 1, 2022

Late fee policy:
– $50 late fee applied if dues not paid before March 1.
– Additional $25 late fee applied if dues not paid before April 1.
– If dues have not been paid after April 1, homeowners will be referred to collections.

Notes for the holidays/winter/year-end

A couple notes and FYIs as we near the holidays, winter weather and the new year…..
Be respectful and responsible with holiday celebrations: As announced about a week ago, towing moratoriums have been put in place around Christmas and New Years’. Regardless of towing exceptions: (1) Please be respectful of neighbors and aware of parking too close to driveways, in front of mailboxes, etc. for parties or overnight guests (2) We’ve had a number of accidents, mailboxes taken out, etc., in WGC in past years, likely caused by impaired driving. Please don’t drink and drive or allow guests to drive if you’re concerned they’ve had too much. We’d love to have a quiet and safe holiday for all of our homeowners to enjoy as they please!
Plowing: Though we haven’t yet seen measurable snow in Indianapolis yet (certainly not complaining), winter weather is sure to arrive sooner than later. Be aware, as in past years, our plowing service kicks in when we receive at least 4″ of snow. This does not mean that plowing will start immediately when we reach 4″ of snow; it means that we go on the list of businesses and neighborhoods contracted with our vendor to be plowed and they will get to us as soon as possible. I am meeting with the vendor in the next week to discuss plowing in cul-de-sacs, so we can do our best to pile snow as not to block driveways or mailboxes.
2022 WGC dues notifications: 2022 dues notifications will go out via mail just before year-end. Be aware, as discussed at the annual meeting (11/3 meeting notes and documents), annual dues will increase 5% to $432/homeowner for 2022. Please ensure you are aware of deadlines and pay dues within the timeframes noted in the dues letter. We’ll post reminders on this site/Facebook page as deadlines approach. And if you are experiencing financial hardships, please reach out to our neighborhood accountant early to discuss possible payment options.

Christmas/New Years Towing Moratorium

WGC homeowners can enjoy their Christmas and New Years celebrations with friends and family without worry of towing on the following dates:
Christmas: Thursday, Dec. 23 through Sunday, Dec. 26
New Years: Friday, Dec. 31 through Sunday, Jan. 2

If accommodations for visitors are needed beyond those evenings, please email woodsatgrassycreek@gmail.com for towing exception requests. If you do have visitors parking on the street, be considerate of neighbors and make sure cars do not block/partially block driveways or mailboxes.

Update and need your help: Fixing our roads/killing the weeds

We are aware that cracks in WGC roads have formed and that grass/weeds are growing through — and it looks TERRIBLE. The city owns our roads and has been contacted about this. Of course, it’s not their top priority though we will keep on top of them — pushing for neighborhood road resurfacing.

HOW YOU CAN HELP: Please call the Mayor’s Action Center at (317) 327-4622 and report street cracks/grass growing through in front of/around your home. Honestly, if we have more homeowners put in requests, the more potential we have to get some attention and hopefully, action!

In the interim, while you’re out doing Fall yard work, please trim/weed whack/pull or put some weed killer on those areas around your home to try and neaten things as we try to work with the city. Thanks in advance for your help and support!!!!

Heads up for Monday, Sept. 20

ADVANCE NOTICE for Monday, Sept. 20: The vendor that is assisting us with our neighborhood reserve study will have a representative in WGC on Monday. During his assessment of our neighborhood amenities, he will be walking around the property as a whole AND will also be using a drone to take some aerial images of the neighborhood. This is part of the study process and has nothing to do with homeowner violation management, etc. Didn’t want anyone to be surprised or concerned if they saw a drone overhead on Monday morning/early afternoon.

WE WANT TO HEAR FROM YOU!

To ensure our HOA is financially able to provide current services into the future, we have contracted an organization to assist us with a “Reserve Study.” A Reserve Study is a long-term budget process tool that helps us assess/analyze the health of an association’s physical property — and helps us plan for future repair/replacement costs for our current amenities. Long story short, we do this to prepare in advance for costs we KNOW will arise – with the hopes of avoiding a steep dues increase or assessment in the future. Think of this as you personally having savings ready for when your furnace/air conditioning fails, car dies, pipes back up, etc., on a larger scale.

As part of the process, we’d like to hear suggestions for amenities or services homeowners might like to see us add/enhance in the future. Our goal would be to come back to neighbors next year with estimated costs/dues impact for services desired. From there, we’d decide on next steps together!
